By making a reservation, submitting payment, or completing the check-in process at any hotel within Grupo Hoteles Roland, the guest fully and unconditionally accepts the following Terms and Conditions on behalf of themselves and their accompanying parties.
- Definitions
For purposes of this document:
Grupo Hoteles Roland or the Hotel: Jointly refers to Hotel Casa Roland San José, Hotel Villas Lirio, and Hotel Casa Roland Golfito Resort.
Guest: Any person registered at reception as the reservation holder or accompanying individual.
Visitor: Any person who enters the Hotel premises without being registered as an overnight guest.
Reservation: A room booking for specific dates under defined payment, cancellation, and occupancy conditions.
- Reservations, Rates, and Taxes
2.1. Rates
All rates are stated in United States dollars (USD) or Costa Rican colones (CRC), as specified in the reservation confirmation.
Rates apply per room, per night, under the meal plan and occupancy indicated in the confirmation (room only, breakfast included, etc.).
All rates are subject to the applicable Value Added Tax (VAT) and any additional mandatory charges established by Costa Rican authorities.
2.2. Reservation Guarantee
The Hotel may require a valid credit card, bank deposit, or partial or full prepayment depending on seasonality and rate policy.
If the guest fails to provide the required guarantee within the specified timeframe, the Hotel may release the room and consider the reservation unconfirmed.
2.3. Payments
The guest must settle the full cost of their stay at check-in unless the rate specifies otherwise.
Only accepted payment methods indicated in the reservation confirmation or at reception may be used.
Additional charges (restaurant, laundry, minibar, tours, damages, etc.) will be billed to the room and must be paid before check-out.
- Cancellation Policy, No-Show, and Early Departure
3.1. Cancellations
Reservations may be modified or canceled without penalty within the timeframe specified in the confirmation.
Cancellations made after the permitted period may incur charges of one or more nights, depending on the rate policy.
3.2. No-Show
A no-show occurs when the guest does not arrive on the scheduled arrival date and has not canceled within the permitted timeframe.
In the event of a no-show, the Hotel may charge, at minimum, the first night of the stay or the penalty indicated by the rate.
3.3. Early Departure
If the guest chooses to depart earlier than the reserved dates, the Hotel may charge the remaining nights in accordance with the rate policy.
- Check-In, Check-Out, and Schedules
4.1. Check-In
Standard check-in time begins at 3:00 p.m.
Early check-in is subject to availability and may incur additional charges.
4.2. Check-Out
Standard check-out time is at 12:00 p.m.
Late check-out is subject to availability and may incur hourly charges up to the equivalent of an additional night.
4.3. Minimum Age for Registration
The primary guest checking in must be at least 18 years old and present valid identification.
- Minors and Room Occupancy
5.1. Minors
Guests under 18 must be accompanied by parents, legal guardians, or an authorized adult.
Policies on rates or complimentary stays for minors will be specified in the reservation confirmation.
5.2. Maximum Occupancy
Each room type has a maximum occupancy limit for safety and regulatory compliance.
Exceeding the limit may result in additional charges or denial of access.
- Visitors
Visitors may enter guest rooms or restricted areas only with prior authorization from reception.
The Hotel may require visitor registration and/or apply additional charges.
Unregistered guests are not permitted to stay overnight. Violation of this rule may result in cancellation of the stay without refund. - Pet Friendly Policy
Acceptance of pets varies by property within Grupo Hoteles Roland. In hotels where pets are allowed, the following conditions apply:
7.1. Permitted Pets
Only small or medium-sized dogs weighing up to 15 kg (33 lbs) are allowed.
A maximum of one pet is permitted per room.
The owner must present proof of up-to-date vaccinations.
7.2. Control, Supervision, and Behavior
Pets must remain under control at all times, using a collar and leash in all common areas.
The Hotel may require the use of a muzzle if the pet’s behavior or size warrants it.
Pets must be supervised at all times by an adult.
Pets may not be left alone in the room for extended periods or under circumstances that may cause noise, stress, damage, or disturbance to other guests.
The Hotel may demand the removal of pets exhibiting aggressive behavior, excessive barking, or any behavior that disrupts guest comfort.
7.3. Restricted Areas
Pets are not allowed in restaurants, pools, gyms, kitchens, food preparation areas, or any spaces designated as restricted.
7.4. Hygiene and Responsibility
Owners must clean up after their pets and dispose of waste in designated containers.
Owners are fully responsible for any damage caused by their pets to furniture, bedding, landscaping, equipment, or any Hotel facility.
7.5. Fees and Deposits
A pet-friendly fee of USD 25.00 or CRC 12,000 per night will be applied.
The Hotel may charge the registered credit card for deep cleaning, repairs, or replacement costs resulting from pet-related damages.
7.6. Service Animals
Service animals are accepted in accordance with Costa Rican law upon presentation of appropriate documentation. Service animals are not subject to pet-friendly fees.
- Conduct, Behavior, and Use of Hotel Facilities
8.1. Appropriate Conduct
Guests must behave respectfully toward other guests, visitors, and Hotel staff.
8.2. Noise and Quiet Hours
Excessive noise, loud music, parties, or disturbances are prohibited, especially during designated nighttime quiet hours.
8.3. Illegal Activities
Illegal activities of any kind, including drug use or trafficking, are strictly prohibited.
8.4. Restricted Areas
Access to staff-only areas is prohibited for guests and visitors.
- Non-Smoking Policy
All rooms and indoor areas are smoke-free, including tobacco, electronic cigarettes, and vaping devices.
Smoking in unauthorized areas may result in an additional deep-cleaning charge. - Damages, Losses, and Guest Responsibility
Guests are responsible for any damage caused to the Hotel’s facilities, furniture, or equipment.
Costs for repairs, replacements, or specialized cleaning may be charged to the guest’s account.
Missing items from the room at check-out may be billed as losses. - Valuables and Liability Disclaimer
Guests are encouraged to use the in-room safe for money, jewelry, documents, and other valuables.
The Hotel is not responsible for loss or damage of items not stored in the safe or left unattended in public areas.
Hotel liability is governed by applicable Costa Rican lodging and consumer protection laws. - Force Majeure
The Hotel is not liable for events beyond its reasonable control, including natural disasters, utility outages, strikes, government restrictions, pandemics, or road or airport closures.
In such cases, the Hotel may modify or reschedule reservations and will offer reasonable alternatives when possible. - Security, Cameras, and Image Use
Security cameras are used solely for safety and operational purposes.
General promotional images may be used without identifying guests; specific imagery will require prior consent. - Personal Data and Privacy
The Hotel collects and processes personal data for purposes of managing reservations, lodging, and related services.
Data processing is conducted in accordance with applicable Costa Rican privacy laws.
Guests may exercise their rights through a written request submitted to the Hotel. - Vehicles and Parking
When available, parking may be complimentary or may carry an additional cost, as indicated in the reservation or at reception.
Use of the parking facilities is at the sole responsibility of the guest. The Hotel is not liable for vehicle loss or damage unless required by law. - Modification of Terms and Conditions
Grupo Hoteles Roland reserves the right to modify, update, or supplement these Terms and Conditions at any time.
The applicable version will be the one in effect on the date of the reservation or check-in. - Governing Law and Jurisdiction
These Terms and Conditions are governed by the laws of the Republic of Costa Rica.
Any disputes shall be submitted to the competent courts of San José, Costa Rica, unless otherwise mandated by law.
